THE CHALLENGE

The Analog "Bankers Box" and Digital Clutter
For years, Helen initiated her client operations work with a literal, physical "bankers box." This box was meticulously pre-built with critical hard-copy documents, checklists, and standard operating procedures (SOPs) encompassing everything from onboarding and HR to legal and IT.

As VentureOps promoted their new recruiting and placement offerings to high demand, Helen recognized her physical system could not scale. Furthermore, to manage daily digital operations, Helen routinely navigated multiple browser windows with numerous tabs alongside various email accounts, causing delay and administrative friction for herself and her assistant. She wanted to optimize their workflow and technology to enable a smooth and scalable launch.

THE SOLUTION

Phase 1: Establishing a Digital Command Center
After attending a Korgi Business Docs event - where users collectively upload and calendar core business filings – Helen booked a strategy session with Korgi to fully build out her primary business board. She paused her initial sales team rollout to focus entirely on establishing her own Single Source of Truth (SSOT). This transition allowed her to eliminate her hundreds of open browser tabs, integrate her assistant for seamless task assignment, and run her daily ops, marketing, and sales meetings directly from Korgi. Because her initial domain registrar had defaulted her organizational email to Microsoft 365, Helen booked an IT session to shift her email service provider directly to Google Workspace and licensed accounts for herself and central team members.

Phase 2: High-Volume Talent Tracking
The launch of the SOM placement program generated immense demand, resulting in hundreds of email and LinkedIn candidate submissions. To manage this influx, Helen deployed a dedicated Korgi board for her talent recruiter (and added another organizational Google Workspace account) and scheduled a Korgi strategy session to devise a solid workflow in 90 minutes. The resulting centralized pipeline allowed her lead to seamlessly add, track, and review all candidates, their application assets, progress, and internal notes in one collaborative space.

Phase 3: "Vibe Onboarding" and Client Scoping
To ensure placed SOMs are critical assets to their CEOs immediately, Helen collaborated with Korgi to spin up instant "vibe onboarding boards." Utilizing a client's public data combined with VentureOps' proprietary SOPs, these boards established immediate role clarity. The marketing team will be able to export these boards as Google Docs during initial client scoping to align on the first 30 days. Once confirmed, the live digital boards will be transferred directly to the new hires to ensure a flawless start.

SCALING SUCCESS
